Clock-ins as they happenexample
TimeEmployeeLocationStatus

Up and running in three steps

  1. 1

    Print the QR code

Add a location (site, office, warehouse, shop), set the GPS zone and print the poster. No tablet or clock machine needed.

  2. 2

    Employees scan

They get a link on WhatsApp, activate the app in their browser and clock in: scan, selfie, Face ID or fingerprint. It takes seconds.

  3. 3

    You get the report

See live who is at work, get a morning email with who is missing, and download the monthly timesheet in Excel.

Built for the field and the office

Works without signal

Clock-ins are saved on the phone with the real time and location, and sent automatically when signal returns.

Fraud-resistant

QR code, GPS zone, selfie and Face ID / fingerprint. Suspicious entries are flagged automatically for review.

In every worker's language

The app speaks the worker's language: 23 languages, including Nepali, Hindi, Bengali, Vietnamese, Filipino, Ukrainian and Turkish.

Morning report

Managers get an email at the time they choose with who came in and who is missing. No need to open the app.

Inspection-ready export

Start and end time for every day, breaks and total hours, in Excel or CSV.

Managers with limited access

Site, shift or store managers only see their locations and can correct entries, with a full history.

Offices too

Clock in from a computer, accepted only from the office network, plus remote work from the address in the contract.

Entrance tablet

A tablet by the door: employees show the code on their phone (it changes every 30 seconds) or their printed badge, or type a PIN. The tablet can also take the selfie.

Breaks, time off, overtime

Breaks from the app, time-off requests approved in one click, overtime and weekend hours in the report.

Schedules, late arrivals, no-shows

Set a company schedule or one per person. See right away who didn't show up, who was late and who left early.

Month closed and signed off by staff

Close the month so nothing can change, and each employee confirms their hours on their phone. The proof is in the report.

You decide on suspicious clock-ins

Anyone clocking in from elsewhere writes why. Approve or reject in one click; rejected ones don't count toward hours.

For every team that isn't at a desk

The same system works wherever people come to work at a specific place.

Construction & solar

Several sites, crews moving between projects, weak signal.

Warehouses & logistics

Shifts, multiple entrances, many people clocking in at once.

Cleaning & security

People at different clients and addresses every day.

Retail & hospitality

Shops, restaurants and hotels running on shifts.

Agriculture

Farms and seasonal workers, often without internet in the field.

Field service

Installers and technicians clocking in at the customer's location.

GDPR by design

Face ID, without biometric data on our servers

Data protection authorities in several European countries have fined the use of biometric data for time tracking. We do it differently: the phone checks the face or fingerprint and we only receive the confirmation, just like banking apps.

  • Faces and fingerprints never leave the employee's phone
  • The selfie is just a photo attached to the entry and is deleted automatically after 30 days
  • Location is taken only at the moment of clocking in. We don't track people
  • Data is hosted in the European Union

Working-time records, the way the law asks for them

In the EU, employers must record the hours worked by each employee. QRtimetrack gives you the data you need during an inspection.

  • Exact start and end time, every day
  • Breaks and total hours per day and per month
  • Corrections stay in the history: who, when and why
  • Monthly export in Excel or CSV, per employee and per location

Simple pricing, no surprises

Try it free for 7 days with up to 10 employees, no card needed. Then switch to Standard: €1.99 per active employee per month, €9.95 minimum (5 employees), everything included.

Frequently asked questions

Do employees need to install an app from the store?

No. They get a link, open it in the browser and add the app to their home screen. Works on iPhone and Android.

What if there's no signal at the location?

Clocking in still works: the entry is saved on the phone with the real time and location and sent automatically when signal returns.

Can someone clock in for someone else?

It's hard. The account is tied to one phone and, depending on how you set up the location, each entry can require a selfie, the GPS zone check and confirmation with the phone's Face ID or fingerprint (if the employee turned it on). Suspicious entries, or entries missing these checks, are flagged for review.

What if an employee forgets to clock in?

The manager adds or corrects the entry in the dashboard. Each correction needs a reason and stays in the history.

Is it legal to ask for a selfie?

The selfie is an ordinary photo, with no facial recognition on the server, and is deleted after 30 days. We recommend informing employees and checking local rules with your data protection adviser.

Can I use it in several countries?

Yes. Each location has its own time zone and the employee app is available in 23 languages (including Nepali, Hindi, Bengali and Vietnamese). The dashboard is in English, Romanian, Spanish, Italian, French, German, Turkish, Arabic and Japanese. You can also keep several companies in one account and switch with one click; each company has its own employees, locations and subscription.

What happens after the 7-day trial?

New clock-ins stop until you activate the Standard plan. Your data and reports stay available: you can still log in, view and download them. Tasks and integrations are only in Standard; you can try the entrance tablet during the trial too.

Does it work for offices too, not just job sites?

Yes. In the office, employees can clock in from their computer, and the entry is only accepted from the office network. People working from home can clock in as remote work, at the address in their contract.

What about employees without a smartphone?

Put a tablet at the entrance. Employees scan their printed QR badge or type a 6-digit PIN, and the tablet can take the selfie. Anyone with a phone can show the personal code from the app, which changes every 30 seconds.

Can employees request time off in the app?

Yes. Employees request time off in the app, the manager approves it in the dashboard, and the days show up in the calendar and the monthly report.

Do employees have to use their personal phone?

No. If someone doesn't want to, or has no smartphone, put a tablet at the entrance: they clock in with a printed QR badge or a 6-digit PIN. Anyone who does use their own phone installs nothing from an app store: the app runs in the browser, has no access to contacts or photos, and reads the location only at the moment of clocking in.

Who can see the selfies and locations? Can I turn them off?

Only your company's admins and the managers of that location. Selfies are deleted automatically after 30 days, we do no facial recognition, and location is recorded only at clock-in (no tracking during the day). Selfie and GPS checks are set per location, so you can switch them off wherever they aren't needed.

Are these valid working-time records?

In the EU, employers must record each employee's daily working time with an objective, reliable and accessible system (CJEU ruling C-55/18); national rules add details. QRtimetrack stores the exact start and end time of every day, breaks, the history of every correction (who, when, why) and each employee's monthly confirmation, and exports them to Excel, CSV or PDF. The employer remains responsible for compliance, so check the specifics for your country with your accountant or employment adviser.

Is there a contract or minimum term?

No. The trial needs no card and simply stops after 7 days if you do nothing. The Standard plan is billed monthly and can be cancelled at any time in the account or by email; cancellation takes effect at the end of the paid month. After cancelling you can still export your data for 30 days.

How much work is the setup, and who helps me?

Creating the account, adding your first location and printing its QR poster takes about 10 minutes. Employees join through a link you send them (on WhatsApp, for example). There's a step-by-step guide, and if you get stuck you can write to contact@qrtimetrack.com: we reply within one business day. If you prefer, we can walk you through it in a 15-minute demo.

Who is behind QRtimetrack and where is the data?

QRtimetrack is operated by NINE UNIT GROUP S.R.L., a company registered in Romania (EU). The database and files are hosted in the EU (Frankfurt, Germany) and the application server in France. A data processing agreement (DPA, Art. 28 GDPR) is part of the terms for every customer.

What languages is support available in?

Our team answers in Romanian, English, Spanish and Italian, by email at contact@qrtimetrack.com. The website, dashboard and app are available in 9 languages, but support replies come in one of these four.
